How to Order Ship Provisions at Azerbaijan’s Ports: A Step-by-Step Guide
From the requisition list to delivery alongside: the steps that make a provisions order fast, accurate and stress-free for the crew and the ship manager.
Ordering provisions for a vessel is a routine task — until something is missing on delivery day. A clear process removes most of the risk. Here is the sequence we recommend to masters, chief cooks and ship managers ordering supplies in Azerbaijan.
1. Plan the order around the voyage
Start from the number of crew, the length of the next voyage and the storage capacity on board. Fresh fruit and vegetables have a short shelf life, so balance them with frozen and dry stores. Remember special diets and the preferences of a multinational crew.
2. Prepare a clear requisition list
A good list states the product, quantity, unit (kg, pcs, carton), and any brand or quality requirement. Using IMPA codes for stores and spare parts avoids misunderstandings and speeds up quotation.
3. Send it early
Share the list together with the vessel name, ETA, port or anchorage, and the agent’s details. The earlier the chandler receives it, the more options there are to source the exact items at the right price.
4. Confirm the quotation and delivery window
Check substitutions, prices and the delivery time. Confirm who will receive the goods on board and whether a crane or provision lift is available.
5. Customs and port formalities
Goods delivered to a ship as ship stores need the correct documentation. An experienced chandler prepares the paperwork and coordinates with the port and customs so the delivery is not held at the gate.
6. Delivery, inspection and sign-off
On delivery, the crew checks quantities and quality against the delivery note. Any discrepancy should be noted immediately so it can be corrected before departure.
A checklist you can reuse

- Crew number and voyage length
- Requisition list with units and IMPA codes
